What is a sales follow-up email in Gmail?

A sales follow-up email is the next message in the same thread after a pitch, a proposal, or a pricing email gets no reply. Store that message as a Gmail snippet, and set a reminder for three business days on the first send. Belkins found the first follow-up raised reply rates by 49 percent. A third follow-up lined up with a 30 percent drop in 2024, so this routine stops after one.

When should you send a sales follow-up email?

Wait three business days. In the same Belkins study, waiting three days produced the biggest lift in reply rate, and waiting less than three days lowered the chance of a response. Their best-performing shape was one initial email plus one follow-up, at a 6.9 percent reply rate. Send the follow-up as a reply in the thread you already started, so the proposal stays above the new note.

How do you save the follow-up as a Gmail snippet?

Save one follow-up, and insert it when the reminder brings the thread back. In CMDK snippets, create a snippet, leave the subject blank, and paste the body below. A blank subject matters: you are replying, and Gmail already has the Re: line. {first_name} and {sender_first_name} fill in from the recipient and from you. Anything else in braces stays highlighted until you type over it.

Leave “Add follow up reminder” off on this snippet. The reminder belongs on the first email, which is the next section. How do you set the reminder on the first email?

On the first email, before you send, add a follow-up reminder for three days. Click the follow-up control in the compose window, or press Cmd+Shift+H on a Mac (Ctrl+Shift+H on Windows). Type 3 days, or pick “In 3 days”. Then send. The reminder uses Gmail snooze, so the thread comes back then whether or not they have replied. Gmail reminders walks through that control.

Gmail gives you no read status on that first email. Turn on a read receipt in the compose window if you want to know whether they opened it before the thread returns. The click path is on the read receipts page.

What do you do when the thread comes back?

Open the thread and do one of three things. If they replied, you are done. If a read receipt shows they opened it and the thread is still silent, reply with the snippet: type ; in the reply box (that trigger is on unless you turned it off) and choose the sales follow-up. If there is no open and no reply, send that same snippet in the thread anyway. They may never have seen the first email.

Do not start a new thread for this. The proposal has to stay in view above the follow-up.

When should you stop following up?

Stop after that one follow-up. Belkins found the second follow-up’s reply rate was 3.2 percent, 45 percent lower than the first follow-up, and that a third follow-up dropped replies by 30 percent in 2024. Send another only when a fact changed: the date, the price, or a question they asked on a call.
