Resignation Letter: 8 Copy-Paste Samples for Every Situation (2026)

A resignation letter has one job: create a clean, dated record that you are leaving and when your last day is. It is not the place to explain your reasons, settle scores, or negotiate a counteroffer. The best ones are three sentences long, and everything a hiring manager, HR department, or employment lawyer will ever need from the document fits in those three sentences.

Below are eight samples you can copy, adjust, and send, covering the standard case and the awkward ones, plus the five rules that keep any version professional.

The five rules

  1. State the fact, the date, and nothing else contentious. “I am resigning, my last day is X” is the legal and practical core. Reasons are optional and usually better left out.
  2. Give the notice your contract requires. Two weeks is the US default; check your contract for notice periods, especially outside the US, where a month or more is common.
  3. Keep gratitude brief and real. One sentence of thanks reads as professional. A paragraph reads as guilt.
  4. Offer transition help, within limits. “Happy to help hand over my work” is enough. Do not promise availability after your end date unless you mean it.
  5. Send it as an email with a paper trail. Address it to your manager, copy HR if that is the norm at your company, and keep the sent message. The subject line “Resignation – Your Name” is standard and unambiguous.

1. The standard resignation letter

The default. Works for almost every ordinary departure.

Subject: Resignation – [Your Name]

Dear [Manager’s name],

Please accept this letter as formal notice of my resignation from my position as [job title] at [company]. My last working day will be [date], two weeks from today.

Thank you for the opportunities I have had here. I am glad to help with the transition in any way I can over the next two weeks, including documenting my work and handing over ongoing projects.

2. The short version

When you want the minimum professional document. Fully sufficient.

Subject: Resignation – [Your Name]

Dear [Manager’s name],

I am writing to resign from my position as [job title], effective [date].

Thank you for the opportunity to work here. I will do everything I can to ensure a smooth handover before my last day.

Sincerely,
[Your name]

3. The grateful version

For when the job genuinely mattered to you and you want the record to say so.

Subject: Resignation – [Your Name]

Dear [Manager’s name],

Please accept this as formal notice of my resignation from my role as [job title], with my last day on [date].

This was not an easy decision. The past [X years] have shaped how I work and what I want from my career, and I am genuinely grateful for the trust you placed in me, particularly on [project or responsibility]. I am leaving with more skills, better judgment, and good memories.

Between now and [date], my priority is a clean handover. I will have documentation ready and am happy to train whoever picks up my responsibilities.

4. The career-change version

Gives a neutral, honest reason without opening a negotiation.

Subject: Resignation – [Your Name]

Dear [Manager’s name],

I am resigning from my position as [job title], effective [date]. I have accepted a role in a different field, and after careful thought I have decided this is the right moment to make the change.

Thank you for everything I have learned here. I will make sure my projects are documented and transitioned before my last day.

5. The immediate resignation

For when you cannot serve notice. Expect this to burn some goodwill; the letter’s job is to minimize the damage while being unambiguous.

Subject: Resignation, effective immediately – [Your Name]

Dear [Manager’s name],

Please accept this letter as notice of my resignation from my position as [job title], effective today, [date]. I regret that circumstances do not allow me to provide the standard notice period.

I will return all company property and complete any handover documentation I can before the end of the day. Thank you for your understanding.

6. The personal-reasons version

Names a category of reason without inviting questions.

I appreciate the support I have received here and will do my best to leave everything in good order for whoever takes over my work.

7. The remote-employee version

Identical rules, plus logistics that remote departures always trip on.

Subject: Resignation – [Your Name]

Dear [Manager’s name],

Please accept this as formal notice of my resignation from my role as [job title], effective [date].

Since I work remotely, I want to sort logistics early: please let me know the process for returning my laptop and equipment, and I will coordinate shipping before my end date. I will also make sure my documentation, credentials handover, and project notes are complete in [tool your team uses].

8. The retirement version

Subject: Retirement – [Your Name]

Dear [Manager’s name],

After [X years] with [company], I am writing to let you know that I will be retiring, with my last working day on [date].

It has been a privilege to spend this part of my career here. I would like to make the transition as smooth as possible, and with the longer runway before my departure, I am happy to help plan the handover of my responsibilities in whatever way is most useful.

What to leave out, whatever you choose

Complaints about management, colleagues, or pay: the letter outlives your grievance and gets read by people who were not part of it. Detailed reasons for leaving: you may be asked in an exit interview, where you can calibrate in person. Counteroffer bait (“unless something changes…”): if you want to negotiate, do it in a conversation before resigning, never inside the resignation itself. And apologies beyond one line: leaving a job is normal.

Frequently asked questions

Do I need a formal letter, or is an email enough?

An email is a formal resignation letter in 2026. Use a clear subject line (“Resignation – Your Name”), address it to your manager, and keep a copy. Some companies ask you to also sign a printed version for the file; HR will tell you.

Do I have to give a reason for resigning?

No. “I am resigning, effective [date]” is complete. Reasons are optional, and vague-but-honest categories (“a new opportunity”, “personal reasons”) beat detailed explanations, which invite argument.

Is two weeks notice legally required?

In the US, usually not (employment at will cuts both ways), but your contract or handbook may specify a notice period, and honoring it protects references and final pay logistics. In much of Europe and Asia, contractual notice periods of one to three months are standard and enforceable. Read your contract before picking your date.

Should I tell my manager before sending the letter?

Yes, whenever possible. The professional sequence is a short conversation (“I have decided to move on; my last day will be X”) followed immediately by the email that puts it on record. Nobody senior should learn about a resignation from a letter.
